How to use the booking calendar and make your resources bookable

This article helps you to digitise your resources and shows you how users can book your resources, e.g. meeting space.

With the booking function of coapp you have the possibility to make your resources (such as meeting rooms, shared vehicles, screens, machines, etc.) bookable by your community. This article will help you set this up.

Note: Bookable resources in coapp are not limited to physical items. You can also offer bookings for meetings, trainings, or 1:1 sessions with team members or external experts. This is especially powerful in combination with coapp’s pricing system, for example to include a set number of support sessions per membership plan.

How to add resources

  1. Go to Manage > Bookings > Resources and click create in the top right-hand corner.

  2. Name your resource, add a description, define availability, and create follow-up emails. Check our detailed booking rules guide as well.

  3. Click create at the bottom right to save.

Optional: You can group your resources into categories under Manage > Bookings > Resource categories to make them easier to find.

How to book a resource

  1. Click the calendar icon in the main navigation.

  2. Select a resource.

  3. Drag to select a time slot and proceed to checkout. You can adjust the times and leave a comment before confirming.

Where do I find my booking?

Click your profile picture > My bookings.

Where do admins see all bookings?

Go to Manage > Bookings > Calendar. Click a booking to view all details.

Viewing and Exporting Booking Statistics

As an administrator, you have access to a detailed report where you can centrally view and download all your community's bookings.

Go to: Manage → Bookings → Statistics

The following functions are available in this table view:

  • Select period: Filter bookings using the date picker for a specific time frame (e.g., a specific week or month).

  • Filter resources: Display data for "All resources" or select a specific resource using the dropdown menu.

  • Detailed overview: The table lists every booking with all important information: Resource name, Booking start, Booking title, Duration (in hours), Price (Net), Creation date, and User.

  • Download data: You can export and download the displayed booking data via the CSV icon in the top right corner. This is particularly useful for your accounting or external analysis.
