How-to: Booking credit in coapp – Assign and use inclusive hours and cash credit
Important: You must first set up at least one bookable resource to use credits. See the guide How to use the booking calendar and make resources bookable.
What Are Booking Credits?
Booking Credits allow you to grant your members automatically recurring included time or budget for specific resources. Credits apply per billing cycle (monthly or annually) and expire at the end of each cycle.
Types of Credits
Type | Description | Example |
Time Credits (Hours) | Hour-based usage quota for resources or groups | 2 hours of coaching per month |
Cash Credits (€) | Cash-based budget for resource bookings | €50 room usage per month |
Credits renew automatically depending on the plan’s billing period. Unused credits expire at the end of the cycle.
For Admins: How to Assign Credits
You can assign booking credits either:
Per Plan – automatically for all users on a plan
Per Member – individually customized for one user
1. Assign Credits on Plan Level
Go to Manage › Settings › Monetization › Plans.
Open a plan (for example, Community) and scroll to the Resources section.
Option 1: Add Credits to a Single Resource
Click Add Resource.
Define:
Price for users on this plan (for example, €10/hour)
Type of credit: Hours or Cash
Amount (for example, 1 hour)
These credits apply only to this specific resource.
Option 2: Add Credits to a Group of Resources
Use groups when multiple bookable variations should share the same credit balance (for example, different coaches).
Click Add Resource Group.
Enter a group name (for example, Coachings).
Select one or more resources to include.
Define:
Price for users on this plan (if needed)
Amount of credits (for example, 10 hours)
Unit: Hours or Cash
2. Assign Credits Per Member
Go to Manage › Community › Members.
Select a member.
Open their current plan and click Update.
From the “…” menu, select Customize and scroll to Resources.
Use the same steps as above (Option 1 or Option 2).
Click Save, then Update subscription.
How Users View Their Credits
Click your profile picture in the top-right corner.
Navigate to Account › Membership and select your plan.
Under the plan description, you can see which resources include credits and how much is available.
How a Booking Works with Credits
The system checks if enough credit is available.
The interface shows how many hours are used and how many remain.
Pay for Another User – Shared Booking Credits
When the “Pay for another user” feature is enabled, booking credits from all connected subscriptions are pooled together. This allows multiple users linked under one billing account (the parent user) to share a collective credit balance for bookings.
For example, if a parent user has a subscription with 10 hours and two connected users each have 5 hours, all three can access a total of 20 shared hours for bookings.
How It Works
Credits from all connected subscriptions are combined into one shared pool.
When any connected user books, credits are deducted from this shared pool.
Admins can see how credits were applied in the price details of each booking, visible in the booking history (either per user or globally).
Visibility of Bookings and Invoices
Even though credits are shared, each user – including the parent user – can currently only view their own booking history in the booking overview.
However, all paid bookings made by connected users are automatically included in the parent user’s invoice. The parent user therefore acts as the main billing account for all connected users.
Who Can Use It
Available when one user pays on behalf of others using the Pay for another user feature.
Requires the Pay for another user permission, which must be enabled by an admin.
Note: Shared booking credits apply to both Time Credits and Cash Credits.
Credits Renew Automatically
Credits are automatically reset every month or year, depending on the plan’s billing cycle. Unused credits expire at the end of the billing period.
Tips and Best Practices
Use credits as an incentive to promote higher-tier memberships.
Combine with resource groups for more flexible usage.
